Move data from hundreds or thousands of distributed devices into one secure cloud environment
Large organisations often have valuable data scattered across servers, NAS appliances, hard drives and legacy storage devices at offices, field locations and regional facilities.
Moving that data into the cloud is not simply an upload project. Each device must be identified, collected, tracked, accessed, copied, validated and reconciled against its originating location.
Tape Ark provides a managed, large-scale Multi-Site Device Ingest service. We coordinate devices from hundreds or thousands of locations, process them through a secure central facility and transfer their data into the customer’s nominated cloud environment.
Thousands of locations. Thousands of devices. One controlled path to the cloud.
When Data Is Distributed Everywhere
A central data migration is relatively straightforward. A multi-site migration is not.
Each location may have different equipment, network connectivity, local expertise and operating conditions. Some sites may have a single server. Others may have additional NAS storage, external drives or several devices containing years of accumulated data.
Common challenges include:
- Incomplete or outdated device inventories
- Hundreds or thousands of collection locations
- Limited technical support at remote sites
- Devices with different capacities and configurations
- Slow or unreliable network connections
- Large NAS systems that cannot be copied locally
- Missing access or configuration information
- Sensitive data requiring documented chain of custody
- Difficulty confirming that every site has been completed
- Uncertainty about whether devices can be safely retired
Without a coordinated process, the project can become thousands of separate migrations with no reliable view of overall progress.
Tape Ark turns those individual migrations into one managed program.
A National or Global Device Collection Program
Tape Ark designs a repeatable collection and ingest process around the customer’s site footprint.
Each location receives clear instructions identifying the devices to be prepared, labelled and shipped. Packaging, freight and tracking can be coordinated centrally, reducing the work required from local personnel.
Depending on the environment, devices may include:
- Physical servers
- QNAP and other NAS appliances
- Direct-attached storage
- Internal and external hard drives
- RAID systems
- Removable media
- Legacy storage devices
- Other approved data-bearing equipment
Smaller datasets may be copied to encrypted transport media where practical. Large NAS systems can be powered down and shipped intact, avoiding lengthy onsite copying or dependence on local network bandwidth.
The process can be adapted for dozens, hundreds or thousands of sites.
A Controlled Path from Site to Cloud
1. Discover and Plan
Tape Ark works with the customer to establish the site list, expected devices, data volumes, cloud destination and security requirements.
The discovery phase can identify:
- Site names, addresses and contacts
- Device type, make and model
- Estimated capacity and used space
- Operating system or storage configuration
- Network and remote-access availability
- Data ownership and classification
- Required cloud destination
- Device return or destruction requirements
- Sites requiring specialist handling
This information is used to develop the collection sequence, processing capacity, logistics plan and exception workflow.
2. Register and Collect
Each site and device receives a unique project identifier before shipment.
Labels, manifests and preparation instructions connect the physical device to its originating location. Freight tracking and chain-of-custody events are recorded so that devices can be monitored from collection through arrival at the processing facility.
Local staff do not need to perform a complex migration. Their role can be limited to confirming the device, following shutdown instructions, applying the supplied identification and arranging collection.
3. Receive and Audit
On arrival, each shipment is inspected and reconciled against the expected inventory.
Tape Ark records:
- Originating site
- Device identifier and serial number
- Device type and condition
- Date and time received
- Packaging condition
- Included components
- Variances or missing items
- Processing status
Unexpected devices, incomplete shipments or damaged equipment are placed into an exception process for resolution.
4. Access and Ingest
Devices are connected within a controlled processing environment and accessed using customer-approved instructions.
Tape Ark’s scalable ingest platform transfers the data to the nominated cloud destination. Processing can run across many devices concurrently, removing the linear limitations of a one-device-at-a-time migration.
Large-capacity NAS systems can be processed directly. Servers and storage devices remain associated with their source site throughout ingest, allowing the customer to see which locations are awaiting collection, being processed, completed or subject to an exception.
5. Validate
A device is not considered complete simply because an upload has finished.
Tape Ark validates the transfer using agreed file counts, data volumes, checksums or other project-specific controls. The cloud destination is then reconciled against the device and originating site.
Validation can include:
- Successful transfer confirmation
- File and folder counts
- Logical data volume
- Cryptographic checksums
- Unreadable-file reporting
- Permission or access exceptions
- Destination-path verification
- Site-level completion reporting
This provides evidence that the data reached the correct cloud location before the source device is returned, retained or destroyed.
6. Return, Reuse or Destroy
Once validation and customer approval are complete, devices can be:
- Returned to the originating site
- Sent to a central customer facility
- Retained temporarily
- Sanitised for reuse
- Securely destroyed
- Recycled through an approved provider
No device is destroyed without the required approval. Certificates of destruction or sanitisation can be provided where included in the project scope.
